How to Hire a Remote Dispatcher for Your Service Company

A good dispatcher keeps a service company running. When the job is done well, nobody notices. When it isn't, technicians sit idle, customers call twice, and jobs fall through the cracks. More US service companies now fill this seat remotely. Here's how to do it right.

1. Write down what the dispatcher actually does

Before you interview anyone, list the daily work: taking service requests, scheduling technicians, confirming arrival times, updating the customer, and closing out work orders. A written list helps you find the right person and judge candidates fairly against the same standard.

2. Decide which hours must be covered

Pick the US time zone and the hours that matter most to your business, and make them a firm requirement. Ask candidates directly which hours they can work, and whether they can keep that schedule for the long term. Don't assume.

3. Test communication, not just the resume

Dispatchers spend the day on the phone and in writing. Check spoken English, written clarity, and how calmly they handle a frustrated caller. A short role-play, such as a customer calling about a late technician, tells you more than any resume.

4. Check the work setup

Ask about the computer they use, how stable their internet is, whether they have a quiet place for calls, and what they do if power or internet goes down. A dispatcher who drops off for an afternoon costs you real jobs.

5. Plan the first two weeks

Give your new hire system access, a written process for the most common calls, and someone to shadow. Start with simpler tasks like updating work orders before handing over live calls. A structured start keeps good hires around.
